Schenley Park Vendors – July 20/21, 2019 Weekend


Vendor Village is a dedicated area within Schenley Park that provides an excellent opportunity for you to display and sell your products and services to over 200,000 weekend spectators. Vendor Village has been transformed with uniformed tents and a dedicated vendor pathway. Each vendor spot now includes a PVGP supplied white hi-peak tent with a backwall. Three sizes of tents are available. This greatly improves the appearance and set-up of the tents – increasing traffic flow and business through the entire Vendor Village area. Tables, chairs, tent sidewalls and electricity are available for rent and will be in your tent when you arrive.

Move-In

All vendors must register at Schenley Park Golf Course Clubhouse first – do not drive onto golf course without checking in at the Golf Course Clubhouse or at Gate A. Ask for Don Privett or Rocco Lamanna, they will direct you to your assigned spot on the golf course. Vendor spots are not determined until Thursday and locations are not released to vendors beforehand. Vendors can not begin set-up on the golf course until noon Friday and will be open for you to move in until 7:00 PM that night. You can also move in on Saturday morning between 8:00 – 9:00 AM. Vendors assigned to the start/finish line should also report to the clubhouse first to get their assigned spots.

Support Vehicles and Parking

In 2019 the Schenley Park Golf Course Clubhouse is under construction and some of our assets will be moved to the area behind Vendor Village we may ask you to park your one vehicle in an area that isn’t far from your display. Parking is also available on nearby streets or on Flagstaff Hill. Vehicles can pull onto the golf course to unload before 9:30 AM and to load after 5:00 PM on the weekend. Large trucks and vehicles of exceptional weight are not permitted onto the golf course.

General Rules & Regulations

SPACE REQUIREMENTS: Exhibits shall be arranged so as not to obstruct the general view or access to surrounding displays, or the pedestrian thoroughfare.  Booth size cannot exceed the space purchased. If you require end of the aisle space or need to display on all 4 sides of your tent, this must be specified in advance. SELLING RESTRICTIONS: There shall be no selling of merchandise outside of your purchased display. You are not permitted to display or sell any materials that are deemed by the PVGP or the City of Pittsburgh to be offensive or that convey hate speech. Vendors will operate within their tent. TRADEMARKS: Certain trademarks and copyrights are the property of the Pittsburgh Vintage Grand Prix. Vendors cannot reproduce in any manner or sell any merchandise, souvenir items or apparel the logo or words “Pittsburgh Vintage Grand Prix without written permission.” DEMONSTRATIONS & MERCHANDISE: No demonstrations or solicitations shall be permitted outside of the exhibitor’s assigned space. Distribution of any printed matter, samples or other articles shall be restricted to within the confines of the exhibitor’s booth. Exhibitors shall not have or operate any display that is the source of objectionable, or interfering with surrounding displays, including signs, lights, or volume of noise. PROPERTY DAMAGE: Nothing shall be screwed or otherwise permanently attached to the provided tents. SECURITY: Show management provides security Friday and Saturday night. However, the exhibitor is responsible for their own products. It is highly recommended that products, not secured, be removed or properly covered when the display is not occupied. MOVE-IN: All booths must be ready for business by 10:00 AM Saturday. Space will not be held past scheduled move-in times unless prior arrangements are made with the Pittsburgh Vintage Grand Prix. MOVE-OUT: Move-out will begin after trophy presentation has been completed on Sunday night. Vendors will not begin their tear down before 5:00 PM Sunday. No one will be allowed to tear down or leave the grounds until that time unless permission is obtained from the Vendor Village Captain.  All exhibitors must be cleared from the grounds Sunday night, unless permission to stay has been obtained in advance. SHOW HOURS: Exhibitors will be expected to be in place and operating their booth from 10:00 AM – 5:00 PM Saturday and Sunday. RUBBISH: Vendors must leave their display area rubbish free. SUB-CONTRACTING SPACE: Absolutely no sub-contracting booth space is permitted. LIVE ANIMALS: No animals of any kind are permitted. LIABILITY: Neither The Pittsburgh Vintage Grand Prix, affiliates, their officers, agents, employees, their families, and other representatives shall be held liable for, and the same are hereby released from accountability for any damages, loss, harm or injury to the person(s) or property of the applicant or any of the officers, agents, employees, their families, and other representatives, resulting from theft, fire, water, accident, or any other cause. CANCELLATION: Any cancellation must be given two weeks prior to the opening day of the show. Phone calls will be accepted with a follow-up letter or email forthcoming from the exhibitor. If any event is canceled less than two weeks from the opening day, deposits are forfeited.

Electrical Power

Electrical power will be made available on the golf course. For $200 you you can hook into one 110 outlet – location for vendors requiring power will be in front of the second green. You are also permitted to bring your own generator if you require power.

Historic Races at PIRC Vendors – July 19-21, 2019 Weekend
9:00 Am – 5:00 PM each day

Spaces are 15′ wide x 15′ deep – $250 each

Move-In

Vendors can set-up between 8:00 AM and 10:00 AM Saturday. Address of facility is: Pitt-Race Complex 201 Penndale Road Wampum, PA 16157 724 535-1000

Move-Out

Vendor are not allowed to begin break down before 5:00 PM on Sunday unless instructed. The races usually last until 5:00 PM and sometimes longer. No property can be left overnight, it but must be removed 7:00PM Sunday.

Hours of Operation

The track is open at 7:30 AM each day. You can open as early as 8:00 AM, but recommended business hours are 10:00 AM until 5:00 PM.

Amenities

There is no electrical power provided. You are permitted to bring your own generator if you require power. Tents are allowed as long as they are secured with stakes and ropes. If you require a tent to be erected by an outside firm you must contact PIRC and use their supplier.

Support Vehicles

Your support or tow vehicle is not permitted in Vendor Village if it does not fit within your space dimensions. Parking for these vehicles is available nearby. If you need your vehicle nearby for supplies or product you will need to purchase an additional vendor space in advance of the event.

Waterfront Vendors – Tuesday, July 15, 2019
4:00 – 9:00 PM

Three Parking Spaces ( Approx 18′ wide x 27′ deep) – $200 each

Move-In

Vendors can set-up between 2:00 PM and 4:00 PM Tuesday. If you arrive earlier and begin to set-up you may be required to move. Address of our location at Waterfront is between the Steak & Shake and First Commonwealth Bank: Waterfront Mall 650 East Waterfront Drive Homestead, PA 15120

Move-Out

Vendor are not allowed to begin break down before 9:00 PM unless instructed. All vendors must be moved-out by 10:30 PM.

The event formally opens at 4:00 PM. You can open as early as 2:00 PM, but recommended business hours are 4:00 PM until 9:00 PM.
